New feature: Bulk Upload

You can now upload events in bulk using Excel spreadsheets. This new feature applies to both Actual and Scheduled times.

Actual Times

To begin, create a new spreadsheet in Excel:

  • Delete any extra worksheet tabs
  • Copy the headers from IAS Dispatch (listed below) to your worksheet
  • Enter information in the following fields:
    • Work Order Number
    • Originator Code
    • Receiver Code
    • Stop Number
    • Unit Number: Optional. If the Work Order had a Unit Identifier (container number or other identifier), then you must send it back here. If it was not provided, do not send data in this cell.
    • Unit Type Code
    • Shipment Number: Optional. If Shipment Number is provided in the Work Order, send it in this field. If the Unit Number is not provided, and there are multiple units with the same size type, this field is required.
    • Actual Location Code: Optional. If the originator requires this field, send the IATA (preferred) or UN Location Code or Schedule K Code in this field.
    • Actual Location Code Qualifier: Required if data is sent in Schedule Location Code.  Valid Values are: "IATA", "UN LOC CODE", "SCHEDULE K".
    • Actual Gate-in Date/Time: Format YYYY-MM-DDTHH:MM:SS
    • Actual Gate in Appointment Comments: Optional. Some originators may require data in this field such as the name of the person that signed for the delivery.
    • Actual Gate-out Date/Time
    • Actual Gate-out Appointment Comments: Optional
  • Save your spreadsheet as a Tab Delimited Text File. If the file size is over 10KB, please split it.

Now you can upload the file to IAS Dispatch:

  • Go to Events > Manage Events
  • Click Bulk Upload Actual
  • Select your spreadsheet file
  • Click Save
  • You should receive the following message:

  • If you receive a failure message, check your file to make sure you have entered all the required information and saved it in the correct format.

Scheduled Times

 The process for bulk uploading Scheduled times is almost identical, but the fields are slightly different:

  • Work Order Number
  • Originator Code
  • Receiver Code
  • Stop Number
  • Unit Number: Optional. If the Work Order had a Unit Identifier (container number or other identifier), then you must send it back here. If it was not provided, do not send data in this cell.
  • Unit Type Code
  • Shipment Number: Optional. If Shipment Number is provided in the Work Order, send it in this field. If the Unit Number is not provided, and there are multiple units with the same size type, this field is required.
  • Scheduled Location Code: Optional. If the originator requires this field, send the IATA (preferred) or UN Location Code or Schedule K Code in this field.
  • Scheduled Location Code Qualifier: Required if data is sent in Scheduled Location Code. Valid Values are: "IATA", "UN LOC CODE", "SCHEDULE K".
  • Scheduled Gate In Form: Valid Values are "Between", "At", "Before", "After"
  • Scheduled Gate In Date/Time Start: Format YYYY-MM-DDTHH:MM:SS
  • Scheduled Gate In Date/Time End: Required only for Between appointments
  • Scheduled Gate In Appointment Comments: Optional
  • Scheduled Gate Out Form
  • Scheduled Gate Out Date/Time Start
  • Scheduled Gate Out Date/Time End
  • Scheduled Gate Out Appointment Comments: Optional

In addition, make sure you click Bulk Load Scheduled to upload.

Sample Files

For your convenience, we have attached documents with the headers already entered to this article. Simply download one of the files, open in Excel, enter the required data, and upload as instructed.
